Who we are
ReviewLoop is operated by Joshua Costin (ABN 81 870 107 594), a sole trader based in Melbourne, Australia. You can reach us at hello@reviewloop.au.
Who this policy covers
Two different groups of people, and it matters which one you are:
- Our clients — the trade businesses who sign up to ReviewLoop.
- Our clients' customers — the people who receive a review request text after a job. We handle their information on behalf of the trade business who engaged us.
If you got a text from a tradie asking for a rating and you want your details removed, reply STOP to that message, or email us at hello@reviewloop.au and we'll take care of it.
What we collect
From our clients
- Name, business name, email address and mobile number
- Google Business Profile link
- Invoicing software and how jobs get marked complete
- Logo and brand colour, for the messages we send on your behalf
- Billing details — card payments are processed by Stripe. We never see or store your full card number.
From our clients' customers
- First name and mobile number, supplied by the trade business from their own records
- The rating you reply with
- Anything you choose to write in the private feedback form
We don't buy contact lists, and we don't collect information about you from anywhere other than the trade business you dealt with.
How we use it
- To send the review request text and one follow-up
- To route ratings — higher ratings to a Google review page, lower ratings to a private form that goes to the business owner
- To send our client a weekly summary of results
- To provide support and to bill our clients
We don't sell personal information. We don't use it for advertising, and we don't share it with anyone beyond the providers listed below.
Who we share it with
We use third-party services to run ReviewLoop. Some of these store data outside Australia, including in the United States.

We may also disclose information where we're required to by law.
Text messages and opting out
The first message any customer receives includes the words "Reply STOP to opt out." If you reply STOP we stop immediately and you won't hear from that business through ReviewLoop again. This is how we meet our obligations under the Spam Act 2003.
We send at most two messages per completed job — the initial request, and one follow-up if there's no reply.
Cookies and tracking on this website
This site sets no cookies. There is no Google Analytics, no advertising pixel, and no tracking of any kind.
The one thing worth knowing: the site loads its typeface from Google Fonts, which means Google's servers receive your IP address when the page loads. That's the only third-party request the page makes.
How we store it
Information is held within the provider accounts listed above, protected by their security and our own access controls. We take reasonable steps to protect it, though no system connected to the internet is ever completely secure.
We keep client information for as long as you're a client and for a reasonable period after, so we can meet tax and record-keeping obligations. Customer contact details are kept only as long as needed to run the review request, and are deleted on request.
Getting access, corrections or deletion
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email hello@reviewloop.au and we'll respond within a reasonable time, normally within 30 days.
If you're a customer of one of our clients, you can contact us directly or take it up with the business that engaged us — either works.
Complaints
If you think we've mishandled your information, email hello@reviewloop.au and we'll work through it with you. If you're not satisfied with how we handle it, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
If we change how we handle personal information we'll update this page and change the date at the top. If the change is significant, we'll tell our clients directly.
